Safety, supervision, privacy and terms for Lakeside Clubs

Lakeside Clubs provides structured, supervised, land-based children’s activity sessions at Bosworth Lakeside Lodges & Campsite, Market Bosworth.

Activities may include tennis, racket games, pickleball, multi-sports, football-style drills, team games, crafts, face painting, birthday parties and seasonal activity sessions.

1. Safety & Supervision Summary

Lakeside Clubs sessions are structured, supervised and land-based. Children remain within a clearly defined activity area and are not permitted to move around the wider site without adult supervision.

Children are not permitted to visit the lake, car park, lodges, campsite areas, reception, shop, toilets or any other part of the wider site unless accompanied by an adult.

Our children’s sessions do not include swimming, paddling, fishing, boating or any other water-based activity.

Children are signed in and out by a parent, guardian or authorised adult. We collect emergency contact, medical and support information at booking so that we can run sessions safely and appropriately.

During sessions, we use clear boundaries, regular headcounts, first aid provision, age-appropriate activities and no unsupervised movement around the site.

Our usual maximum group sizes are up to 8 children aged 5–9 with one supervising adult, and up to 10 children aged 10–15 with one supervising adult.

These numbers may be reduced depending on children’s age, behaviour, additional needs, weather, activity type, group mix or venue conditions.

Young helpers under 18 may assist with activities but are not counted as supervising adults.

Birthday parties may run with higher numbers where at least one parent, guardian or responsible adult from the party remains present throughout. For larger parties, younger children, mixed-age groups or higher-risk activities, we may request that more than one adult remains present.

2. Safeguarding & Child Protection

Lakeside Clubs is committed to creating a safe, positive and respectful environment for children and young people.

We take safeguarding seriously and will act on any concern about a child’s safety, welfare or wellbeing.

Our approach includes clear sign-in and sign-out procedures, collecting emergency, medical and support information before participation, keeping children within a defined activity area, regular headcounts during sessions, no unsupervised movement around the wider site, appropriate adult supervision, first aid provision, recording accidents, incidents or concerns where appropriate, and reviewing procedures after any incident, near miss or safety concern.

Children are not allowed to leave the activity area alone. This includes going to the toilet, visiting parents or siblings, collecting equipment, going to lodges, campsite areas, reception, the shop, car park or lake area.

We aim to avoid situations where one adult is isolated alone with a child out of sight of others, except in an emergency where the child’s safety or welfare requires immediate action.

Any safeguarding concern, disclosure, allegation or incident will be recorded and, where appropriate, reported to the relevant safeguarding authority, children’s services, police, venue management or other appropriate body.

Parents and guardians are asked to tell us before booking if their child has any medical, behavioural, communication, sensory, mobility or additional support needs that may affect safe participation.

We aim to be inclusive and will consider each child’s needs on a case-by-case basis. However, we may not always be able to provide specialist support, personal care, continuous one-to-one supervision or support beyond the limits of a standard group activity session.

3. Health & Safety Policy

Lakeside Clubs provides structured, supervised, land-based children’s activity sessions in an outdoor lakeside setting.

The safety and wellbeing of children, families, staff and visitors is our highest priority. We aim to provide a safe, positive and well-managed environment where children can enjoy outdoor activities with clear supervision, boundaries and procedures.

Responsible Person

The person responsible for health and safety at Lakeside Clubs is the session leader/business owner.

The responsible person is responsible for checking the activity area, carrying out dynamic risk assessments, maintaining registers, managing sign-in and sign-out, holding emergency contact information, providing first aid arrangements, recording incidents and deciding whether a session should be adapted, paused or cancelled.

Our Responsibilities

Lakeside Clubs will plan activities according to children’s age, ability, group size, weather and venue conditions. We will carry out suitable risk assessments for activities and the venue environment, keep children within a clearly defined activity area, operate clear sign-in and sign-out procedures, collect emergency contact, medical and support information before participation, provide first aid provision during sessions, maintain appropriate supervision ratios, carry out regular headcounts, prevent unsupervised movement around the wider site, adapt or cancel activities where conditions become unsafe, record accidents, incidents or near misses where appropriate, and review procedures following any incident, near miss, venue change, staffing change or activity change.

Risk Assessments

Risk assessments are held separately and reviewed regularly.

Risk assessments may be reviewed before new activities, venue changes, equipment changes, weather changes or after any incident or near miss.

Dynamic risk assessments are also carried out during sessions where conditions change, for example due to weather, behaviour, site activity, equipment, group mix or ground conditions.

Land-Based Activities

Lakeside Clubs sessions are land-based only.

Children attending our sessions are not permitted to enter the lake, paddle, swim, fish, climb banks, play at the water’s edge, throw items into the water, or retrieve equipment from near the water.

Any water-based activity at the wider venue is separate from Lakeside Clubs and is not included in our children’s activity sessions.

Supervision Ratios

Lakeside Clubs operates small-group sessions with capped numbers.

Our usual maximum group sizes are up to 8 children aged 5–9 with one supervising adult, and up to 10 children aged 10–15 with one supervising adult.

These numbers may be reduced depending on children’s age, behaviour, additional needs, weather, activity type, group mix or venue conditions.

Where groups are mixed-age, younger, higher need, higher risk, or require movement around the site, numbers may be reduced or an additional responsible adult or parent support may be required.

Young helpers under 18 may assist with activities but are not counted as supervising adults.

Birthday Party Supervision

For birthday parties, Lakeside Clubs provides the organised activity element.

At least one parent, guardian or responsible adult from the party must remain present throughout the party.

The attending parent or responsible adult helps support general supervision, toilet visits, food or cake arrangements, behaviour support and any child who may need a break from the activity.

For larger parties, younger children, mixed-age groups or higher-risk activities, we may request that more than one parent or responsible adult remains present.

No Unsupervised Movement Around Site

Children are not allowed to move around the wider site unsupervised during Lakeside Clubs sessions.

This includes going to the toilet, collecting equipment, visiting parents or siblings, going to lodges, campsite areas, reception, the shop, car park or lake area.

Children must stay within the agreed activity area unless accompanied by an adult.

Toilet Procedure

Children are encouraged to use the toilet before the session starts.

During sessions, children must not go to the toilet alone. Where possible, toilet trips will be taken in pairs or small groups. The supervising adult will escort children to the toilet area and wait outside. Children will be counted before leaving and again on return. Staff will not enter toilet cubicles unless there is an emergency or safeguarding concern.

For younger children, children needing personal care, or birthday parties, a parent or guardian may be asked to support toilet visits.

Where only one supervising adult is present, the session may be paused and the group kept together during toilet trips, or a parent, guardian or responsible adult may be asked to assist, so that no child or group is left unsupervised.

First Aid and Medical Information

Parents and guardians must provide accurate medical, allergy, injury and emergency contact information before their child attends.

A first aid kit will be available during sessions.

In the event of an accident, illness or emergency, Lakeside Clubs will provide appropriate first aid, contact the parent or guardian where required and contact emergency services if necessary.

Parents and guardians authorise Lakeside Clubs to seek appropriate first aid or emergency medical treatment if we are unable to contact them immediately in an emergency.

Emergency, Missing Child or Site Incident Procedure

If a child is unaccounted for, the activity will stop immediately, a headcount will be taken, the wider site or venue team will be alerted where appropriate, the parent or guardian will be contacted, and emergency services will be contacted where necessary.

Children will remain supervised while the situation is managed.

In the event of a serious incident, medical emergency, severe weather, site evacuation or safety concern, Lakeside Clubs will follow its emergency procedure and/or the venue’s emergency instructions.

Weather and Outdoor Conditions

Sessions are outdoor-based and may be adapted due to rain, heat, high winds, storms, slippery ground or other unsafe conditions.

Activities may be moved under shelter, changed, shortened, postponed or cancelled if conditions are not safe.

Parents and guardians should ensure children arrive with suitable clothing, footwear, water, sun protection and weather-appropriate items.

Parent/Guardian Responsibilities

Parents and guardians must provide accurate booking, emergency contact and medical information. They must tell us about any medical, behavioural, communication, sensory, mobility or additional support needs. They are responsible for ensuring children arrive in suitable clothing and footwear, with water, sun protection and weather-appropriate items.

Parents and guardians must sign children in and out, collect children promptly at the end of the session, and tell us in advance if another adult will be collecting their child.

If a child requires continuous one-to-one support, personal care, close behavioural support or specialist supervision, this must be discussed before booking.

We aim to be inclusive, but we may not always be able to safely provide specialist or continuous one-to-one support within standard group sessions.

Review

This Health & Safety Policy will be reviewed regularly and updated where needed, including after any incident, near miss, activity change, venue change, staffing change or updated guidance.

Who May Book

Bookings for children under 18 must be made by a parent or legal guardian.

By booking on behalf of a child, you confirm that you are authorised to make the booking and that the information you provide is accurate and complete.

Our Services

Lakeside Clubs provides structured, supervised, land-based children’s activity sessions.

Activities may include tennis, racket games, pickleball, multi-sports, football-style drills, team games, crafts, face painting, birthday parties and seasonal activity sessions.

Session details, times, prices and availability are shown on our website or booking system and may be updated from time to time.

Booking and Payment

A booking is only confirmed once the required booking details have been completed and payment has been received in full, unless we have agreed otherwise in writing.

We reserve the right to refuse or cancel a booking where places are unavailable, the booking information is incomplete or inaccurate, payment is not made when due, or we reasonably believe the booking is not suitable for the participant.

Medical, Behavioural and Emergency Information

Parents or guardians must tell us about any medical conditions, allergies, injuries, additional needs, communication needs, sensory needs, mobility needs or behavioural issues that may affect a child’s safe participation.

We may refuse participation if we believe we do not have the information, staffing or facilities needed to support a participant safely.

In an emergency, you authorise us to seek appropriate first aid or emergency medical treatment if we are unable to contact you immediately.

Inclusive Participation and Safety

Lakeside Clubs is a group activity environment.

We aim to be welcoming and inclusive, and we encourage parents or guardians to contact us before booking if their child has any medical, behavioural, communication, sensory, mobility or additional support needs.

We will consider each child’s needs on a case-by-case basis and discuss whether reasonable adjustments may be possible within our staffing, facilities and activity environment.

However, we may not be able to offer a place, or may need to stop participation, where important information has not been disclosed in advance, the child requires specialist provision, the child requires personal care, the child requires continuous one-to-one support, the child’s needs cannot be safely supported within a standard group session, or participation would present a genuine safety risk to the child, other participants, staff or visitors.

Drop-Off, Collection and Supervision

Parents or guardians are responsible for ensuring that children are dropped off and collected safely and on time.

Children remain the responsibility of their parent or guardian until they have been signed in or handed over to our session leader or staff member.

Children become the responsibility of their parent or guardian again from the time the session ends, or when the child is signed out or collected.

We are not responsible for children outside booked session times.

Children will only be released to a parent, guardian or authorised collecting adult.

Parents and guardians must tell us in advance if someone else will be collecting their child.

Participant Conduct

All participants and parents are expected to behave respectfully towards staff, helpers, other children, families and visitors.

We may refuse entry or remove a participant from a session, without refund where reasonable, if behaviour is unsafe, disruptive, abusive or inappropriate.

We may also refuse future bookings where a participant or parent behaves aggressively, abusively or unreasonably towards our team, other children, other parents or venue staff.

Health, Safety and Fitness to Participate

Participants should only attend if they are well enough to take part safely.

Please do not attend if the participant is unwell, has symptoms of a contagious illness, or has an injury or condition that makes participation unsafe unless appropriately disclosed and cleared.

Suitable sports clothing, footwear and weather-appropriate items should be worn.

Parents and guardians should provide water, sun protection and any required medication or medical items.

Weather and Session Changes

Sessions are outdoor-based and may occasionally need to be changed, postponed, shortened, moved or cancelled due to bad weather, unsafe ground conditions, coach or staff illness, low numbers, venue issues, safety concerns or events outside our reasonable control.

Where a session cannot go ahead, we will aim to offer a rearranged session, credit or refund, where appropriate.

Cancellations by You

Unless stated otherwise at the time of booking, cancellations made more than 7 days before the session, camp or party starts will receive a full refund, minus any clearly stated non-refundable booking or payment processing fees.

Cancellations made 3 to 7 days before the session, camp or party starts will receive a 50% refund or credit.

Cancellations made less than 72 hours before the session, camp or party starts will not usually be refunded unless we are able to fill the place or exceptional circumstances apply.

Non-attendance is non-refundable.

Cancellations by Us

We may cancel a booking or session if there are insufficient numbers, a coach or session leader becomes unavailable, the venue cannot be used, safety concerns arise, or circumstances beyond our reasonable control prevent delivery.

If we cancel before the session starts and no suitable alternative can be offered, you will receive either a full refund for the affected session or a credit or transfer option, if you prefer.

Refunds

Where a refund is due, it will normally be made back to the original payment method within a reasonable period.

Refunds will not usually be given for missed sessions, failure to attend, late arrival, early collection, removal from a session due to serious misconduct, or circumstances clearly outside our control where a fair alternative has been offered, unless the law requires otherwise.

Photography and Video

We may take photographs or short videos during sessions or events for internal records, coaching records, website content, social media and promotional purposes.

We will only use identifiable images of children on our website, social media or other promotional materials where we have clear consent from a parent or legal guardian.

Consent can be withdrawn at any time by contacting us, but this will not affect materials already published before withdrawal.

We will respect any non-consent or safeguarding restrictions.

Parents and guardians are asked not to photograph or film other children without appropriate permission.

Food, Allergies and Birthday Parties

Where food, cake or party refreshments are provided or arranged by parents, guardians or third-party food providers, parents and guardians remain responsible for checking ingredients, allergies and suitability for their child.

Parents and guardians must tell us in advance about any allergies, intolerances or medical needs that may affect participation.

Lakeside Clubs cannot guarantee that food brought by other families, third-party providers or the wider venue will be free from allergens.

Personal Belongings

Participants bring belongings at their own risk.

We are not responsible for loss, theft or damage to personal items unless caused by our negligence.

Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or any other liability that cannot legally be excluded.

Subject to the above, participation in sport, games and outdoor activities involves an element of inherent risk.

Parents and guardians are responsible for providing accurate information and ensuring the participant is fit to take part.

Our liability for losses arising out of our services shall be limited to the amount paid for the relevant booking, except where the law provides otherwise.

Complaints

If you are unhappy with any part of our service, please contact us first and we will try to resolve the matter fairly and promptly.

Changes to These Terms

We may update these Terms & Conditions from time to time.

The latest version published on our website will apply to future bookings.

Governing Law

These Terms & Conditions are governed by the law of England and Wales.
